Hampton Commons Condo Association Committees

There are several committees responsible for taking care of various orders of business that affect members of our community. Many people serve on more than one committee, and they could use some help.

Committee Descriptions

Welcoming Committee

Description

  • Greets new residents of Hampton Commons, provides them with information about the community, answers their questions, and gives them a "Welcome to the Neighborhood Basket."

Charter

  • Moving can be a traumatic experience and a Welcoming Committee can help to make the transition from one home to another a pleasant experience. This Committee functions like the Social Committee. It plans activities to bring new owners into the mainstream of the community and informs new residents about the Association and its form of governance. A member of the Welcoming Committee should visit all new residents and provide them with information on the local area; a list of neighborhood schools and churches; and information on Association Committees, Rules, Board meeting, Board members, and the Management Agent. This Committee obtains addresses of new owners from the Management Company and includes a note of welcome to them in the newsletter.

Architecture and Landscaping/Building and Grounds Committee

Description

  • Responsible for managing the look of the community grounds and buildings.

Charter

  • Many Associations have large outdoor areas for playgrounds, parks, parking lots, and driveways. Consequently, a considerable portion of their budget is often earmarked for landscaping and grounds care. In such an Association, the Landscape and Grounds Committee (sometimes called the Outdoor Maintenance Committee) serves a vital function. Although few residents wish to do the actual maintenance of the grounds, many take an interest in the outdoor environment. These people are quick to comment on landscape maintenance that does not meet their personal standards. Because the exterior of any residential development creates the first impression for visitors, much time and effort should be invested in proper care of the grounds. This Committee should work with the Management Company to write specifications for the landscape and gardening contracts, prepare bid packages, evaluate formal bids, and make appropriate recommendations to the Board of Directors. Once the Board has negotiated a contract for outdoor maintenance, the Committee will wish to monitor the contractor's performance. The Committee should work with the Management Company to ascertain that contracts are properly prepared and fulfilled. All evaluative comments and suggestions should be channeled through the Management Company to enhance contractor performance. The Landscape and Grounds Committee should make expense recommendations for landscape maintenance and improvements to the Board of Trustees when the annual budget is prepared. In addition to the maintenance required on a regular basis, the Committee should work with the Management Company to develop comprehensive, long-range embellishment plans. Many condominium owners who formerly lived in single-family homes retain an interest in grounds and gardens. Their experience can be most helpful. The Landscape and Grounds Committee is frequently asked to review individual owner's applications for permission to plant shrubs and flowers or make other changes to the grounds. The Committee must review all requests for change, since it has set landscaping and grounds maintenance standards. It then makes recommendations that the Board approve or reject these applications.

Communications Committee

Description

  • Keeps the community informed of issues affecting its members.
  • Maintains the Hampton Commons Condominium Association website.
  • Prepares the Newsletter and Reference Guide. Bring your news articles to any board meeting for publication in the next newsletter!
  • Distributes the Newsletter, Reference Guide, flyers or mailings for issues of immediate concern.
     
    Do you have a new baby? Did you just celebrate your 100th birthday? If you have any news items of interest to the community and would like to see it published on the website and in the newsletter, please mail it or call it in to the Management Company and ask them to forward it to the Communications Committee.

Charter

  • The Association's Newsletter is a vital link in the network of communications within an Association. It should be prepared and published on a regular basis by a Newsletter Committee. Newsletter content may be supplied by the Board of Trustees, Committees, the Management Company, or by other contributors. The newsletter should report decisions, made by the Board or by Committees that affect the membership. Residents can be kept abreast of social functions and other functions that are scheduled. The newsletter may be fully funded by the Association, or it may support itself in full or in part by selling advertising space. The newsletter should bring the association together. It should not be a vehicle for debating issues, creating divisiveness, or provoking issues that are negative in nature. The newsletter can be a source of valuable information for all unit owners and serve as a Sunshine Committee by acknowledging all types of noteworthy occasions. Obviously, anyone with experience as a journalist would be ideally suited to serve on this Committee. The website should serve as a primary source of information about the community including current events, contact information, rules and regulations and basic workings of the community management.

Covenants Committee

Description

  • Assists outside counsel in preliminary work on such items as nonpayment of assessments, violation of Association Rules and Regulations, and foreclosures.
  • Acts as a judiciary for hearing cases involving violations or infractions of rules, and reports its recommendations to the Board.
  • If you have a problem you would like to bring before the Covenants Committee, please contact the management company.

Charter

  • The Covenants Committee may assist outside counsel in preliminary work on such items as nonpayment of assessments, violation of Association Rules and Regulations and foreclosures. More important, however, is the fact that the Covenants Committee is a judiciary for hearing cases involving violations or infractions of rules and reporting its recommendations to the Board. The importance of a Covenants Committee cannot be overemphasized. In many cases, it carries great weight, where legal enforcement and judgments of a punitive nature are to be made.

Fundraising, Social and Recreation Committee

Description

  • Raises money and organizes activities, social events and parties. These events are held only when enough money is raised and participants volunteer to organize and run the event and clean up afterwards.

Charter

  • The Fundraising, Social & Recreation Committee works together with the Communications Committee to advertise the Hampton Common's clubhouse for rental. It also goes outside the community to distribute flyers and business cards to encourage a greater number of businesses and organizations to use the facility. A portion of the funds raised from this effort may be used for social and recreational purposes.

Security Committee

Description

  • Responsible for the safety, security, and integrity of our community.

Charter

  • This is a new committee, reflective of the times in which we live. Since Hampton Commons is the size of a small town, plans should be in place to keep our community safe and secure on a daily basis and in emergency situations. The committee will plan for short and extended emergencies by verifying the integrity of our backup systems. Information will be given to residents relating to emergency supplies and survival techniques needed for emergencies. Neighborhood watch instructions and suggestions will be distributed for our protection. The Security Committee will work with The Communications Committee Town Criers in the event of a real emergency to get instructions to all residents.
